Job Description: 
The primary purpose of the ORC Office Manager is to maintain office functions of the Outpatient Rehab Clinic and assist with scheduling of Christian Care Home Health Agency visits and the Physician Clinic which includes answering phone calls; verifying insurances and Medicare; obtain authorization; scheduling Home Health, ORC, and physician clinic services; preparing billing and maintaining medical records in accordance with Federal, State and County guidelines, as well as in accordance with our established policies and procedures.

* Assist in organizing, planning, directing and marketing the Outpatient Rehab Clinic in accordance with established policies and procedures.

*  Answer telephone inquiries concerning ORC, Christian Care Home Health and physician clinic services* Transport campus residents to ORC using golf cart.  * Collect all new client paperwork including verification of insurance coverage to ensure a complete medical record.

*  Collect co-payments at time of therapy service according to insurance coverage.

* Maintain cleaning and maintenance records of therapy equipment.*  Develop and maintain a good working rapport with interdepartmental personnel, as well as other departments within the facility, to ensure services are available to patients.  * Maintain CONFIDENTIALITY of all patient care information to assure rights are protected.  * Provide clerical assistance to the Outpatient Therapy staff; RN/Home Health Manager and physician.  * Assemble and analyze discharge/transfer patient records for deficiencies and obtain corrections and completion of deficiencies from responsible persons.

* Followup until completed.  * Insure that medical records are stored in a safe environment and that records are maintained for a period consistent with Federal, State regulations and house policy, and that records are stored in a manner which will facilitate retrieval and prevent loss.

* Handle all requests for release of information from patients and outside requests.

* Such release is done consistent with HHA policy and guidelines for confidentiality.  * Fax telephone orders, physician’s monthly orders, forms needing signatures, care plans, discharge summaries, etc.  * Attend ORC Quality Improvement meetings and submit pertinent information as required for Quality Assurance.  *  Submit required information for Outpatient Rehab Clinic and Home Health billings including private pay, Insurance and Medicare.  * Attend monthly billing meeting for Surprise ORC.  * Maintain daily census of services provided by the ORC.  * File patient/employees incident reports.  * Request necessary supplies for work area.   * Attend workshops/seminars, as approved 
 
Must be minimum 18 years of age.

Minimum of one year’s experience preferred.

Knowledge of Microsoft Office products preferred.

Must be honest, dependable, and exhibit a warm, cheerful, caring manner. 
A high school diploma or equivalent.

Prefer three (3) years’ experience working in a physician’s office in the west valley; two (2) years’ experience in marketing or sales.

Knowledge of medical terminology and aging services.

Experience with Point Click Care.

  Must enjoy paperwork and have organizational skills.
