Clinical Office ManagerPrimary :Responsible for the day to day “Front and Back Office” operation of a medical clinic, to include planning and coordinating the work assignments of all clinic staff.Ensures excellent quality, timeliness, and patient service throughout the entire patient experience.When necessary, informs new patients of WFHC Sliding Fee Scale, reviews their eligibility and either approves or denies the application.Receives and interacts with incoming visitors, patients and external clients.Tracks employee schedules including vacation, sick, paid time off and regular work day schedules.Arranges and coordinates meetings and events as needed.Responsible for managing a clinic budget to include medical and office supply inventory.Creates and sends purchase orders for approval and processing.Arranges for facility and equipment maintenance and repairs as needed in conjunction with the Director of Administration.Responsible for overseeing that all medical equipment is calibrated and inspected according to WFHC’s policies.In conjunction with the DCO, interviews potential new hires and conducts orientation of new employees in the department.Assists the DCO, in the creation, implementation and revision of all applicable policies, procedures, and monitors adherence.Maintains office services by organizing office operations and established procedures; controls correspondence; designs filing systems; reviews supply requisitions; assigns and monitors clerical functions.Custodian of petty cash funds.Manages the scheduling and assigning of employees tasks and follows up on work results.Keeps DCO informed by reviewing and analyzing special reports; summarizes information; identifies trends.Ensures strict confidentiality of all medical records and PHI in conjunction with HIPAA laws.Must be proactive in budgetary matters in order to stay within budgetary constraints.Assists as needed and serves in a backup role for Clinical support staff and Center clerical staff.Performs other duties and responsibilities as assigned.Competencies:Demonstrated ability to work independently and with a sense of urgency in a fast-paced environment.Possess excellent organizational and follow up skills, with a strong attention to detail.Possess and demonstrate skills necessary to analyze data and information.Demonstrate a high standard of business ethics and integrity.Proficient in Windows operating systems and Microsoft Office Suite.Sound knowledge and understanding of medical terminology and body systems.Strong working knowledge of electronic scheduling systems, Electronic Medical Records (EMR), and case management programs.Job Type: Full-timeExperience:clinical office: 5 years (Preferred)FQHC: 2 years (Required)Microsoft Office Suite: 3 years (Preferred)EMR Systems: 3 years (Required)Education:Associate (Preferred)License:Florida LPN or RN (Required)725 N US-1, Fort Pierce, FL 34950-9125, United States
