– 1st Shift, FT Position Highlights: The position carries the overall responsibility for day-to-day management of the Anesthesiology Administrative Office in a large and busy department, including monitoring work flow and ensuring effective completion of routine, scheduled and unscheduled tasks in a timely and effective manner.

Provides administrative support to the Chairman.

Directly supervises six administrative staff.

Fosters and encourages a productive and cost effective work environment within the department.

Position Responsibilities: Manages office and daily workflow of administrative assistant staff and residency coordinators to ensure smooth operation of office and timely completion of routine and non-routine tasks and various projects as necessary.

Ensures work allocations are, where possible, appropriately distributed, prioritized and/or delegated as necessary.

Hiring, training and evaluating employees, taking corrective action when necessary, including termination.

Completes all documentation for hiring, disciplining and terminating anesthesia administrative office personnel.

Provides administrative support to Chairman.

Composes and drafts materials as required.

Works independently and in consultation with Chairman and/or Vice Chairmen on multiple departmental issues and projects as they arise.

Ensures relevant office budgets are maintained within set limits and that office expenditure (overtime, office supplies, equipment etc.) is kept within budget.

Performs annual employee evaluations for anesthesia admin staff.

Ensures these are carried out in a timely and appropriate manner.

Works with managers in other areas of department to ensure reviews are appropriately completed and submitted by set deadlines.

Responsible for monitoring, editing and submitting time and attendance via online payroll system Centricity for multiple departmental accounting units.

Regularly review and improve administrative office systems, policies and procedures.

Ensures departmental records and files are maintained in good order and that mandatory staff training in areas of health and safety is carried out, documented and recorded on personnel files.

Onboards all new attending staff.

Works closely with incoming attendings and with Rush MSO, Rush Health, Rush Surgicenter, Rush Oak Park and Rush Oakbrook Surgicenter to ensure applications are processed and medical staff and faculty privileges are obtained in timely manner.

Processes all documentation for promotions, departures etc.

Ensures clinical licenses and other certifications are current and copies are filed with Medical Staff Office to ensure compliance with Medical Center regulations.

Works with non-US citizen professional staff that requires assistance in obtaining/maintaining appropriate visa status.

Completes necessary documentation and liaises with Rush Immigration Services to ensure correct completion and timely submission.

Liaises with Rush Health to ensure departmental physicians are correctly initially credentialed and re-appointed on a 2 year cycle etc.

Liaises with all departmental physicians, residents, professional staff, Anesthesia Billing Office and Rush Pain Center management and staff and handles any admin/office related issues that require attention.

Liaises with MCE and other areas of the Medical Center to ensure that physical aspects of the department are kept in good and safe order.

Monitors inventory of office supplies and the purchasing of new materials/office equipment with attention to budgetary constraints.

Plan, schedule and promote departmental events such as annual holiday party and departmental picnic.

All other projects, issues, and miscellaneous matters that arise or are necessary to promote and support the department’s goals.

Position Qualifications Include: Bachelor’s Degree in relevant area.

Minimum 5 years’ experience in similar position, preferably as an Administrative Manager.

Strong problem-solving, critical thinking, interpersonal and verbal and written communication skills.
